Inventory Sync

Overview

Inventory synchronization refers to linking channel store warehouses with multiple fulfillment centers (self-operated warehouses, platform warehouses, overseas warehouses). This connection effectively prevents overselling of products across linked channels.

  1. Refresh Store Warehouse: Initiate a refresh for selected channel stores. After syncing, the latest store warehouse data will update in SellingPilot, while available stock from physical warehouses will push to corresponding store inventories.

  2. Enable Auto Sync Inventory to Platform: When enabled, inventory levels automatically propagate from all connected warehouses to relevant sales channels (including Newegg, Amazon, TikTok, eBay, Walmart, Shopify, Temu, Shein, etc.).

  3. Sold-out Threshold: If actual stock falls below this predefined value, the system sets the store warehouse quantity to zero (marked as sold out).

  4. Max Inventory: When available stock exceeds this limit, the channel inventory displays this capped value. Set to "0" to mark the channel as out-of-stock.

  5. Enable Auto Deductions Inventory: Upon activation, ordered quantities automatically deduct from corresponding warehouse stocks.

  6. Create in Warehouse (Auto): Post-authorization, choose whether newly synced store products should associate with your default self-operated warehouse during product import.

  7. FBM Inventory for FBA SKUs: Three scenarios tailored for merchant needs:
·No Update: For sellers managing separate FBM stocks independently without SP intervention.
·Set to Zero: Use when distinct SKUs control FBA/FBM pricing; ensures FBA orders exclusively draw from FBA stock by zeroing FBM allocations during sync.
·Real-Time Value: Applies when sharing a single SKU for both FBA and FBM channels; maintains live FBM availability to prevent listing removal due to stockouts.

  8. Force Sync (requires prior enablement of auto-update):
·Force-refreshes all current physical stocks to channel stores. ·Performs full updates regardless of changes detected. ·Limited to 3 uses daily – exercise caution. Processing may take significant time. ·Post-sync verification mandatory before proceeding with other actions.

  9. Designate Source Inventory for a Channel Store:

Step 1 – Activate Source Status: Hover over target channel store name > Click enable icon beside the store name > Confirm activation. images - Note: Enabling disables "Auto Update Stock to Platform" and related features. Maintain source inventory via Product > Listing ManagementView Help,or directly through ecommerce seller portals.

Step 2 – Success State: Green "Source" badge appears above activated store names. images

Step 3 – Share Across Stores: For stores needing this source: Enable "Auto Update Stock to Platform" > Select the designated source under "Channel Warehouse" dropdown > Confirm. Linked sources appear in the "Channel Warehouse" column. images images

Step 4 – Critical Considerations After Activation:
When set as shared inventory, any change (via official seller console or SellingPilot) triggers automatic propagation across all linked channels:
·Manual management restricted to either the channel’s native Seller Central OR SellingPilot’s dedicated page—no additional sources (own/platform/3PL warehouses) can be bound.
·System polls inventory hourly; high SKU volumes may cause delays.
·Lag risks cross-platform overselling—monitor sync status closely and maintain safety buffer stocks.

FAQ

Q1: How to sync FBA stock to Newegg SBS stores?

A1: Follow these steps:

  1. Select target Newegg SBS store.

  2. Turn on "Auto Sync Inventory to Platform".

  3. In the settings pop-up: Under "Platform Warehouse", choose specific FBA warehouse inventory to display > Click "Confirm".

Q2: How to sync inventories between different channel stores without platform warehouses (FBA/SBN/WFS)?

A2: Two-step process:

Step 1 – Navigate to Products > Listing Management > Locate target online product > Click its "SP SKU/Store SKU" field > Assign desired local SP product > Save. (Repeat for all products needing association).

Step 2 – On Inventory Sync page (Warehouse > Inventory > Sync): Hover over origin store warehouse > Toggle "Enable". For destination stores: Enable "Auto Update Stock to Platform", then select source channel(s) from "Channel Warehouse" dropdown (multi-select supported) > Save.

Q3: Why does an unchanging fixed value appear instead of dynamic inventory updates on certain channels?

A3: Likely caused by setting a maximum inventory cap. Review and adjust this value in settings.
